Your base subscription includes 8 billable days per month. If you trigger billing on more than 8 days, each additional day costs $5/day on monthly plans or $4.50/day on annual plans. Your billing starts after your 14-day free trial ends. Monthly plans are billed on the same date each month. Annual plans are billed once per year. You'll receive an email notification before your first charge.

New users added mid-cycle are prorated for the remaining period. When a user departs, you receive credit for the unused portion of their base subscription. This ensures you're only ever paying for the time you actually use.

A billable day is any day a new session you recorded reaches a 'completed' state — transcript ready, notes generated, or documents finalised — for the first time. Once captured, every later visit to that session (regenerating documents, editing notes, copying data, AI chat) is included in your active subscription. Templates, checklists, compliance checks, and settings work never trigger billing. Per day, not per session: 10 patients in one day = 1 billable day.

Yes. Moving from monthly to annual saves you 10% and can be done at any time. Switching from annual to monthly can only be done within 7 days of your renewal date (to honour the 12-month annual commitment). To cancel: monthly plans can be cancelled anytime with no contract or penalty. Annual plans have a 12-month commitment. Changes take effect at the end of your current billing period.

Yes. You can add unlimited Billing Administrator accounts at no cost. These accounts can manage billing, view invoices, and handle administrative tasks without consuming a clinician seat or counting toward active days.

Absolutely. All data is hosted on Australian servers with 256-bit AES encryption at rest and TLS 1.2+ in transit. We're APP (Australian Privacy Principles) compliant, with SOC 2 Type II certified infrastructure (Supabase & Vercel). All clinical records maintain a read-only audit trail that cannot be modified or deleted.
